Students can add/drop courses online any time on the student registration system, Wingspan. Students who are having trouble accessing Wingspan can submit the add/drop/re-add form to request assistance with the drop. Students who are dropping a course due to college error, are requesting a drop without record, are requesting an Excused Withdrawal (EW), are requesting course credit for a course they participated in but were not enrolled in, are requesting to submit a form after the deadline to submit due to extenuating circumstances, or are seeking a Military Withdrawal (MW) are encourage to submit the Exceptional Action Petition.
Type of Requests
- College Error: If there is an error in a student’s record, the student must provide proof of the error. Courses may be removed and fees refunded if appropriate. The deadline to petition to correct an error is 30 days after the end of the term. Where the alleged error is that the student never attended the course, the student must petition prior to the end of the next summer term following the end of the class. If the student received a grade in the course, even when the student never attended the class, the student must go through the grade change process.
- Drop without Record: All students who are still enrolled after the 20% mark (census), but who drop before the 60% mark, receive a Withdrawal (W) notation. Students who were unable to drop by the 20% mark due to an extenuating circumstance can petition to drop without notation. The deadline to petition to drop without notation is the 60% mark for a course.
- Excused Withdrawal (EW): Excused Withdrawal occurs when a student is permitted to withdraw from a course(s) beyond the time which no notation is made (20% mark) for withdrawals due to specific events ("extenuating circumstances") beyond the control of the student which affect the student's ability to complete a course(s). Verifiable documentation must be presented upon petition by the student. The EW symbol does not count in calculation of probation or dismissal and is not counted as an enrollment attempt for purposes of course repetition. Please note that the EW symbol does count in the Federal financial aid Satisfactory Academic Progress Calculations. The deadline to petition to drop with an EW is anytime after the drop deadline and before a grade is assigned.
- Course Credit: Students must add courses by the established add deadline. In cases where a student is in attendance prior to census but doesn’t add the course by the add deadline, the student has two weeks from the add deadline to file a Late Add Petition. Students who are not enrolled by the deadline date are not allowed to attend the course. Where extenuating circumstances prevented the student from submitting a Late Add Petition, students can file an Exceptional Action Petition to receive course credit along with a Late Add Petition. The deadline to petition for course credit is 30 days after the end of the term.
- Missed Deadlines on Other Types of Petitions/Forms: Students who miss a deadline to submit another petition/form due to an extenuating circumstance can submit that other petition/form along with the Exceptional Action Petition.
- Military Withdrawal: MW is assigned to active or reserve members of the military who receive orders that compel a withdrawal from courses. Upon verification of such orders, a MW will be assigned at any time, during which no notation is made for withdrawals. A military withdrawal shall not be counted in progress probation and dismissal calculations, or in course repeatability limits. The deadline to petition for course credit is 30 days after the end of the term.
Additional Information
- The window to petition to drop with an EW is anytime after the drop deadline and before a grade is assigned. Thereafter a student can only petition to change a grade by requesting a grade change from the instructor. Under California Education Code Section 76224 and California Code of Regulations Title 5 Section 55025, the instructor can only change a grade based on mistake, fraud, bad faith, or incompetency; an extenuating circumstance is not a valid reason to change a grade.
- Financial aid students receiving awards other than CCPG should consult with the Financial Aid Department prior to requesting to drop courses. Students who drop courses may lose eligibility for financial aid based on Satisfactory Academic Progress and may also need to repay part or all the financial aid they received.
- Extenuating circumstances are verified cases of accidents, illnesses or other circumstances beyond the control of the student. When alleging extenuating circumstances, the student must provide third party proof of the extenuating circumstances. Failure to provide proof will result in an automatic denial. Examples of Extenuating Circumstances include a job transfer outside the geographical region, an illness in the family where the student is the primary caregiver, or when the student is the subject of an immigration action.
